Key Responsibilities:
Operational Excellence, Compliance & Risk Management
-
Ensure strict adherence to internal policies, employment regulations and approved operating procedures across all People Operations workflows, e.g. Employment Act, PDPA, ECDA
-
Act as the primary risk owner for People Operations, continuously identifying and assessing operational risks within transactional and service delivery processes
-
Enforce internal controls defined by Enterprise Risk and the central HR Risk Management team, conducting rigorous self-assessments to validate process integrity.

Investigate control failures, data anomalies, or processing gaps, leading root-cause analyses and championing sustainable corrective actions.

Coordinate internal and external audits for People Operations by compiling precise evidence, drafting responses, and driving the timely closure of all audit findings.

Manage access to external corporate systems (including CorpPass) and oversee the ongoing digitalization of personnel files (P-files) to ensure secure, audit-ready data management.

Ensure all employee screening processes comply strictly with regulatory mandates, governance standards, and internal risk frameworks.
Medical Benefits & Vendor Management

Oversee the administration of corporate insurance schemes (such as WorkMedic, GHS, GPA, GTL) and outpatient medical benefits.

Liaise with external vendors on medical and insurance portfolios, closely monitoring performance to ensure service delivery strictly aligns with agreed Service Level Agreements (SLA).

Act as the primary escalation point to resolve complex billing issues, claims escalations, and operational bottlenecks in collaboration with vendors.

Oversee the end-to-end remarketing initiative for medical and insurances; perform rigorous invoice reconciliation to ensure accurate cost charging and timely payments.
Payment Management

Handle bulk payments, employee allowances and reimbursements in compliance with internal policies

Ensure accuracy and audit readiness for all HR-related financial transactions
Policy Governance & Projects

Review and maintain HR policies and the Employee Handbook on a periodic basis, communicate key changes to relevant stakeholders and ensure compliance with internal governance and local regulations

Create and maintain comprehensive Standard Operating Procedures (SOPs) and FAQs to ensure operational continuity and support consistent employee queries.

Partner with the Manager, People Operations to execute strategic initiatives and projects as assigned
Automation & Continuous Improvement (CI)

Review and streamline HR processes, proactively identifying opportunities to enhance operational efficiency, optimize service delivery and drive continuous operational excellence

Monitor, track, and manage Key Performance Indicators (KPIs) and SLA performance across People Operations to ensure timely, consistent, and high-quality service delivery

Build comprehensive operational capabilities by actively participating in the HR team’s cross-training and portfolio rotation program, ensuring robust team coverage.
Key Requirements:
Education
Experience
-
3-5 years of experience in HR operations, shared services, or a similar role within a fast-paced environment, with a strong focus and passion for operations and driving CI initiatives

Prior experience in a people management or supervisory role will be advantageous
Skills
-
Proficient in HR systems (e.g. SAP SuccessFactors, Workday) and productivity tools including Microsoft Office and Google Suite (Docs, Sheets, Slides, Gmail, etc.)

Familiarity with local employment regulations and HR best practices. Deep understanding of local labor regulations and background in corporate insurance will be preferred.
