Role Description:
Provide effective office admin support to about 8 centres. Responsible for answering enquiries and providing accurate information to the customers via the phone and email. The incumbent will be situated in our HQ at Mountbatten Square.
Job Responsibilities:
1. Administrative Support
Support the centres with data entry of child transactions into SkoolNet and CMS. This will include:
- Child Transactions: Enrolment, Withdrawal, Transfer, Notification of Change, Special Approval, Student Pass Application, Promotion of Children
- Purchases: Uniforms and Mattress covers (SUG cases), Field Trips, Late Fine, K2 Graduation, DSP, etc
- Finance Related: Status of GIRO applications, Invoice Checks
- Subsidy Applications in CMS for all new and existing cases
- Update of School Fees Changes in CMS at child level (yearly)
- Update of Vacancy Status in both Skoolnet and CMS and checking and removal of Staff discount in Skoolnet for staff who has resigned
- Retrieval of documents for audit purpose
- Handles queries from existing and new parents and provide support whenever needed
- Liaise with both external and internal stakeholders such as ECDA subsidy officers, licensing officers, financial assistance officers to facilitate and resolve enrolment and subsidy/financial assistance application issues.
2. Financial Assistance Support and Reconciliation
- Determine if parent qualify for Financial Assistance
- Offer the correct form of assistance and guide parents on the documentations needed
- GSII Reports (Subsidies)
- Follow-up on discrepancies for any over-payment or under-payment of subsidy in CMS and subsidy adjustments in Skoolnet
3. Calls/Email/SMS
- Handle calls/emails/sms enquiries from existing and new parents
- Direct emails requiring special attention to relevant parties and ensure that they are followed up accordingly
4. Any adhoc duties assigned e.g. assist to buddy new staff when required
Job Requirements:
- GCE 'O' level holder and above
- Min 2 years relevant experience in administrative support
- Prior experience assisting parents with subsidies matters in a childcare centre setting would be advantageous
- Detail oriented and willingness to learn and good customer service attitude and team player
